MYOB selection, installation and setup

1. We are very happy to provide this service to you free of charge, as it is vital you purchase the right MYOB product for your business.
2. It is however, invaluable to speak to an expert so you have a full picture of what options are available to you, so you can make the best choices at the start.

We can assist in exporting opening data information from an excel spreadsheet into MYOB (eg Customers, Suppliers, Items)

We can assist in modifying the forms layout, so that the information produced by your company that get sent out externally are in a user-friendly and easy-to-read format.  For example, these forms include:

-         Customer quotes/sales orders/invoices and statements
-         Supplier Purchase Orders
-         Cheques & Remittance Advices
-         Mailing Labels

Training and support of MYOB Financial Software

We can design and / or give you training that is specific to your business.  So you learn how to enter the data using the system that has already been setup for you.  (eg.  There are user-defined fields when setting up customers / suppliers which you might have defined – your training will be so that you know exactly what to enter in these user-defined fields, what fields should be completed and what are optional).

This may range from – reviewing your data entered each month to ensure it all looks okay, or to come in and find out why your debtors sub-module no longer reconciles to the debtors balance in the General Ledger.

Quality review of Existing MYOB setup

Small Business or company advice and startup

We can advise you on what steps you need to take to register a new company. 
Eg. 

-         Reserving company name
-         Registering company
-         Completing director & shareholder forms
-         Setting up a bank account
-         Obtaining an IRD number
-         Deciding on whether the company should become GST registered
-         Deciding on whether FBT returns need to be filed
-         Creating a Business Plan etc.

This service also includes advising you on how you should be accounting for all your data right from the start…. Eg.  Is it advisable to purchase MYOB right at the beginning, or would an excel spreadsheet be sufficient in the beginning.

Documenting Business Process & design

This service is invaluable if you want to ensure that there is:

-         consistency in the way your business does things for all processes
-         proper segregation of duties in your business
-         Instructions in place to enable someone to take over a roll immediately if that person was to fall ill or go away on holiday.

The work involved in generating this documentation can be time-consuming, but it is worth it.  We will not only document what currently happens, but will make recommendations on alternative ways of doing things to make your business more efficient and effective.  It’s easy to get stuck in a mode of not actually knowing why something is done a certain way, except that it’s because “‘it’s always been done this way” or when the process was first defined, it was the best way of doing things, but now that your business has expanded, it is no longer the most efficient choice to use.

Budgeting

Creating a budget is only a small part of this service.  The most important part is monitoring actual against budget to find out why there are overs or unders.  Budgets, if checked monthly, are great tools for highlighting quickly where there might be a problem, before it gets out of hand.  We are able to provide both parts of this service to you.  It’s easy to be off-hand about certain expenditure, which is why it’s good sometimes to have an independent person come in and question why are you spending so much money in this area – is it really necessary.

Eg bank fees.  If selling an item at a discounted rate to your relative, why are they paying by credit card, which is costing you x% in fees, when you should be getting them to pay by internet banking.  Credit cards if used wisely (ie.  Paying off full balance on due date), can save you a fortune in bank fees, because it doesn’t cost you for each payment you make, like it does using eftpos.

Review of your Data File at Year End

To put your mind at rest, we can come in and review your MYOB Data file at year end before you send it off to your Accountant to make sure all the basic work and reconciliations have been completed.

We can also come in and make the necessary adjustments to align your MYOB data file with the accounts finalized by your Accountant, do the roll-forward, ensure you have a previous year data file available for viewing and other tasks necessary to ensure there is no problem with the roll-forward.

Accounting Services

Because you may rather spend your time on working the business and doing what you’re good at, we also provide Accounting services using MYOB.  This book-keeping service can include a range of tasks which can be suited to your specific business, but may consist of one or more items such as:

-         data entry of sales invoices – and posting/emailing them out
-         data entry of customer receipts
-         data entry of supplier invoices, supplier reconciliations and entry of payments
-         data entry of all other inward and outward payments
